The Water Authority of Fiji is a corporate body established under the Water Authority of Fiji Act 2007 to manage water and wastewater systems across Fiji. It provides access to quality drinking water and wastewater services to over 159,000 residential and 33,540 non-residential metered customers in urban areas. The organisation is also responsible for setting up water supply systems in rural areas.

About the role

This Personal Assistant role supports the Chief Operating Officer by managing the COO's office operations, calendar and correspondence. It serves as the administrative coordination hub between the National Office and three regional operations. The role ensures the COO is informed, organised and properly briefed for all executive, Board, government, stakeholder and operational engagements.

Key responsibilities

  • Manage day-to-day administration and effective functioning of the COO's Office, including office systems, forward schedules and administrative arrangements.
  • Plan, organise and prioritise the COO's workload, commitments and administrative requirements; screen telephone calls, emails, correspondence, visitors, enquiries and requests.
  • Manage the COO's calendar, appointments, meetings, site visits and official engagements; prioritise meeting requests and resolve scheduling conflicts.
  • Coordinate meeting notices, agendas, papers, attendance, venues and technological requirements; attend meetings and prepare accurate minutes, decisions and action points.
  • Coordinate domestic and international travel, including approvals, transport, accommodation and itineraries; prepare travel packs and briefing materials.
  • Draft, review, proofread and format letters, memoranda, emails, submissions and official responses to government offices, statutory bodies, regulators, development partners and stakeholders.
  • Prepare reports, briefing papers, presentations, talking points and executive documents; verify references, dates, names, titles, attachments and supporting information before submission.
  • Serve as the administrative coordination point between the COO's Office and the three Manager Regional Operations; facilitate timely flow of instructions, reports, correspondence and information between National Office and regions.
