Office CV Basics for Admin and Finance Roles

Office CVs are judged on trust before style. For admin, finance, accounts, procurement, HR support, reception, and project support roles, the reader is asking one question: can this person handle details without creating more work for the team?
Jobs in Suva often attract many applicants because the city concentrates government, NGOs, banks, professional services, head offices, and regional programme teams. A clean CV helps you stand out without sounding loud. It should show accuracy, software, communication, confidentiality, and deadline habits.
Start with contact details: full name, mobile, professional email, and suburb or town. Use an email address you check daily. If the role is based in Suva and you live outside the city, add a practical line such as Able to commute to Suva daily or Available to relocate to Suva from Lautoka from October.
Your profile line should be specific to admin or finance. Weak: I am a motivated worker seeking growth. Better: Accounts assistant with 2 years accounts payable, petty cash, reconciliations, and QuickBooks data entry experience. That gives the hiring team a reason to keep reading.
Recent Suva finance ads commonly ask for Excel, QuickBooks, MYOB, Xero, NetSuite, accounts payable, accounts receivable, bank reconciliations, VAT, FNPF, payroll support, reporting, and document filing. You do not need every tool, but the tools you do know should be visible in the first half page.
Put a Key Skills section near the top. For admin, examples include diary coordination, filing, reception, minutes, travel bookings, procurement support, records management, customer service, and email handling. For finance, examples include invoice processing, reconciliations, petty cash, payment runs, VAT schedules, FNPF support, payroll timesheets, and month-end reports.
Your work-history bullets should prove volume and accuracy. Weak: Did invoices and filing. Better: Processed 40 to 60 supplier invoices weekly, matched purchase orders, filed supporting documents, and followed up missing approvals before payment run. That line shows task, scale, and control.
For reception or admin assistant work, use examples that show pressure. Better: Managed front desk calls, welcomed visitors, booked meeting rooms, scanned documents, and updated client records for a 12-person office. If you handled cash, stock, or confidential records, say how you kept them organised.
For finance roles, do not just list software names. Say what you did in the system. Better: Entered invoices in MYOB, reconciled supplier statements, prepared Excel summaries for month-end review, and flagged overdue accounts to the finance officer. Employers can test this in an interview.
If you are moving from retail, hospitality, or call-centre work into office roles, translate your experience. Weak: Worked at cashier. Better: Balanced till at shift close, handled customer complaints, recorded daily sales, and reported discrepancies to supervisor. That is finance and admin evidence in plain language.
Education matters, but order it according to your situation. If you have several years of relevant office experience, put work history before education. If you are a graduate applying for entry roles, put your diploma, degree, attachment, and accounting subjects high. Include recognised short courses in Excel, payroll, bookkeeping, procurement, or customer service.
For government, health, NGO, and donor-funded roles, read the selection criteria carefully. Some Fiji application processes ask candidates to address Knowledge and Experience, Skills and Abilities, sometimes called KESA. If the ad asks for a statement or criteria response, do not rely on the CV alone.
For private-sector office roles, the same discipline still helps. Read the duties and mirror the strongest evidence in your CV. If the ad asks for petty cash, do not lead with reception only. If it asks for customer billing, show billing, calls, follow-up, and records before general administration.
Keep dates accurate. Use month and year for each role, not only years. If you had a short contract, label it Contract or Temporary. If you had a gap for study, family care, or relocation, one plain line is enough. Office employers value honest records because the work itself involves records.
Do not exaggerate Excel. Basic Excel means data entry, formatting, simple sums, filters, and printing. Intermediate may include pivot tables, lookups, reconciliations, and larger datasets. If you write Advanced Excel, be ready to explain formulas and workbook controls. Overclaiming software is easy to uncover.
Referees for office roles should speak to punctuality, confidentiality, accuracy, and how you behave under deadlines. A former supervisor, finance manager, office manager, HR officer, or senior administrator is stronger than a family friend. Ask them before listing their number.
Proofreading is part of the application. Print or preview your CV as PDF, then check phone number, email, dates, employer names, software spelling, and attachments. A finance CV with spelling mistakes in the company name sends the wrong signal before your skills are considered.
A useful order is contact details, role profile, key skills, work experience, education and training, software, referees. If the ad is technical finance, move software and accounting skills higher. If the ad is front office or admin, move communication and document-handling examples higher.
