Send Your CV as PDF Without Formatting Chaos

A PDF is not just a tidy file type. It is a way to protect your CV from changing shape after you send it. When an employer opens your application on a mobile phone in Suva, a shared office computer in Nadi, or a printer at a resort HR desk, your headings, dates, and bullet points should still sit where you put them.

That matters because many first screens are fast. Fiji employers dealing with busy vacancy periods may scan dozens of files before deciding who to call. FHTA has warned that tourism employers are stretched by labour shortages, while the 2025 National Skills Gap Assessment Survey reported chefs, IT technicians, accountants, electricians, admin officers, carpentry, customer service, and other practical roles among the skills employers say they are losing. A clear CV will not create experience you do not have, but it helps the reader see your experience quickly.

Use PDF for most Jobs in Fiji applications unless the employer asks for another format. A Word document can be useful when a recruitment system needs to parse text, but it can also move fonts, spacing, and page breaks. A PDF is usually safer for email applications, hotel HR inboxes, and small business shortlists where someone may print or forward your file.

Finish all editing before you export. Do not make the PDF first and then try to fix it inside a viewer. Open your CV in Word, Google Docs, Pages, or the app you use, then check your name, phone, email, location, work dates, referee details, and file title. Look especially at the first half page. That is where the recruiter decides whether to keep reading.

Keep the layout simple. Use one readable font, black text, clear headings, and enough spacing so the page does not feel crowded. Two pages is enough for most job seekers, especially for entry, hospitality, trades, admin, sales, and customer service roles. Senior managers and technical specialists may need more, but only if every section earns its place.

Export using the proper command: Save As PDF, Export to PDF, Download as PDF, or Print to PDF. Avoid screenshots of your CV. A screenshot can look blurry, cannot be searched, and may cut off text. If you are using your phone, check that the app exports the whole document, not only the visible screen.

Open the exported PDF before you send it. Scroll from top to bottom. Check that your page breaks are sensible, the second page has your name or contact details if needed, and no line is hanging alone at the top of a page. Zoom in on your phone. If you cannot read your own phone number without pinching hard, the font is too small.

Name the file like a professional applicant: Firstname_Lastname_CV.pdf. If you are applying for a specific role, Firstname_Lastname_Role_CV.pdf is also fine. Avoid file names like finalfinal.pdf, my cv new.pdf, document(3).pdf, or WhatsApp Image CV. Recruiters save many files at once. A clear name makes you easier to find.

Keep the file size reasonable. Many Fiji applications still move through email, and some employers or island properties may have slow connections. A CV with no photo should often be well under 1 MB. If the ad asks for a passport photo, certificates, or references, attach only what it requests and compress images before sending. Huge files can bounce or sit unsent on mobile data.

Do not scan a printed CV unless you have no other option. A scan usually looks grey, crooked, and heavy. If you must scan, use a proper scanner app, crop the edges, and export as PDF. Make sure the text is readable. A blurred scan can make a careful worker look careless.

If the employer portal accepts only Word, follow the portal. Instructions come first. Upload the Word file if that is required, but keep your PDF version ready for email follow-up or interview printing. If the form accepts several formats and does not state a preference, PDF is usually the safest choice.

Think about privacy too. Your CV needs your contact details, work history, qualifications, and referees if requested. It usually does not need your birth certificate, passport, TIN letter, bank details, or ID scans at first application stage unless the employer has clearly asked for them for a proper reason. Use a short email body. Write the role title in the subject line, greet the employer, say you are applying for the advertised role, mention the attachments, and include your phone number. Do not leave the message blank. A blank email with two mystery files looks rushed.

Before you send, test the full application on yourself. Email the PDF to your own address or open it from your phone files. Ask: would a busy person know my target role, latest experience, location, and phone number within ten seconds? If yes, the format is doing its job.
