About the role

This Receptionist role is based at the Legal Aid Commission's Suva duty station and reports to the Officer in Charge. The position's primary purpose is to provide efficient and effective customer service while assisting the Client Information Officer. The receptionist acts as the first point of contact for clients, members of the public, and other stakeholders, managing counter duties, correspondence, and phone enquiries. The role also involves clerical and administrative support and occasional paralegal duties as required.

Key responsibilities

  • Efficient management of counter duties
  • Exceptional professional customer experience provided to clients, members of the public and other stakeholders as the first point of contact for the Commission
  • Quality professional phone etiquette maintained at all times
  • Ensure correct and reliable information is given via face-to-face, phone and electronic communication
  • Manage all relevant incoming correspondence effectively in line with established procedures
  • Carry out effective paralegal duties as and when required
  • Provide efficient clerical and administrative support to the Client Information Officer when required
  • Adhere to client and file management policies

About the successful candidate

  • A Certificate in Front Line/Desk Management with at least 2 years of continuous experience is essential
  • A Diploma in Administration would be an added advantage
  • Strong knowledge and experience of front office/customer service work
  • Working knowledge of computers and relevant software applications, including MS Office Suite
  • Experience in switchboard operation
  • Excellent time management skills and the ability to prioritize work
  • Ability to handle difficult or emotional customers
  • Excellent command of English and ability to maintain confidentiality with respect to client and Commission information
