About the role
The Senior Procurement Officer reports to the Procurement & Supply Chain Manager and owns end-to-end procurement for medical consumables, pharmaceuticals, medical equipment, services and operational requirements. The role also manages logistics for local and international shipments, including freight, customs clearance and delivery arrangements, and oversees inventory management to support uninterrupted patient care. This includes leading sourcing, supplier selection and evaluations, preparing RFQs, RFPs and tender documents, and monitoring stock levels, reorder points and stock rotation to minimise expiry, damage and overstock. The incumbent is expected to play a critical part in ensuring efficient control of hospital inventory across the organisation.
Key responsibilities
- Manage and coordinate the end-to-end procurement process for medical consumables, pharmaceuticals, medical equipment, services and operational requirements.
- Coordinate logistics of local and international shipments, including freight, customs clearance and delivery arrangements.
- Verify invoices against purchase orders and goods received documentation prior to submission to Finance.
- Develop and implement procurement strategies and annual procurement plans aligned with organisational objectives.
- Lead sourcing activities, supplier selection, market research and supplier evaluations to achieve value for money and cost efficiency.
- Prepare and administer Requests for Quotations (RFQs), Requests for Proposals (RFPs), tender documents and procurement evaluations.
- Reconcile physical stock with system records, and monitor inventory levels, consumption trends and reorder points.
- Maintain appropriate holding stock for critical consumables and medical supplies, ensuring effective stock rotation to minimise expiry, damage and obsolescence.
About the successful candidate
- Diploma or bachelor's degree in Procurement & Supply Chain Management, Business Administration, Commerce, Accounting & Finance, or a related discipline will be an advantage.
- Minimum of 3 years' experience in procurement, purchasing, inventory control, logistics or supply chain management.
- Experience in customs clearance, freight forwarding, and international procurement will be an advantage.
- Strong knowledge of procurement, inventory management and supply chain processes.
- Strong understanding of inventory management principles and systems.
- Good analytical, organizational, and problem-solving skills.
- Proficiency in Microsoft Office.
- Good communication skills, ability to work independently and in a team, and high attention to detail, integrity and professionalism.
